Administrative Assistant in Situational Awareness and Monitoring Division / Frontex Situation Centre
Location: Warszawa, Śródmieście

Key responsibilities of the position:

  • Support the planning of Standing Corps FSC Information Officers
  • Support the specialised training of Standing Corps
  • Support the deployments management of the SCs within OperaEvo and other available platforms and tools (FOSS, JORA etc.)
  • Supporting the implementation phase of 2023 FSC Operations
  • Supporting the drafting or the collection of various reports/documents
  • Contributing to the establishment of certain business processes and the drafting of the respective SOPs
  • Support the interaction with other responsible for the SC management and deployment entities (ORD, DMD)
  • To carry out data entry and support an administration and monitoring of electronic databases
  • To assist in the preparation of statistical data (tables, graphs and charts);

Other Administrative Tasks:

  • Contribution to the preparation of briefing notes, presentations, speaking points for the managers of the Frontex Situation Centre but also to Senior Management
  • Supporting the organization of events, meetings, and visits to FSC
  • Taking action points/minutes during meetings
  • To support the document flows and archiving -filing and circulation of dossiers
  • Provide administrative support in general administrative procedures
  • To monitor functional mailboxes and communicate with internal and external parties (including ARES) and ensure timely follow-up to the daily tasks of the Unit


  • Education: successfully completed secondary education related to the business needs
  • Work experience: at least 1 year of professional experience in the specific area depending on the business needs
  • Computer skills: very good skills in the main MS Office software (Word, Excel, Outlook)
  • Language skills: very good command of both written and spoken English (at least B2) / knowledge of additional EU language
